What Does an Administrative Coordinator Do?

The Administrative Coordinator will be responsible for coordinating with the Foreperson, Superintendents, and Operations managers to ensure timely and accurate submission of daily payroll, review daily and weekly payroll reports and work with payroll and HR departments to correct errors. The Administrative Coordinator plays an integral role in The Miller Group’s vision of building greatness with its employees and promoting entrepreneurial spirit to seek improvement and embrace innovation and accountability within the organization.

As an Administrative Coordinator, You Will:

  • Maintain personnel files including training, certifications, and licensing records for all OPPG operating business sectors
  • Process layoff, transfer and rehire paperwork for seasonal change over
  • Collect, review for accuracy, and submit payroll for multiple operations daily
  • Review and approve daily and weekly payroll reports
  • Support field and office staff on the use of Heavy Job project management software
  • Work with Operations to organize and track crew training
  • Receive purchase orders for processing
  • Code and process accounts payable invoices
  • Compile and report safety statistics from multiple operations
  • Assist operations with purchasing and invoicing as needed
  • Required to perform other duties as assigned

What You'll Bring

  • 2+ years of experience in an office setting with some exposure to accounting and costing
  • Experience with Estimating and Project management software. Particularly HCSS Heavy Bid and Heavy Job an asset
  • Experience with computerized accounting systems, particularly J.D. Edwards an asset
  • Ability to follow instructions and willingness to learn new concepts
  • Proficient in MS Office Suite
  • Strong organizational skills and ability to meet deadlines in a fast-paced environment
  • Excellent written and verbal communication skills
