Job Summary

The office assistant is responsible for the weekly reporting of time for employees, new and rehires processing of employees, setting up certified jobs, and weekly reporting.  Duties also include production entry, journal entries, equipment time posting and organizing various meetings, and many other duties as the need arises. 

Main Responsibilities

  • Records and validates driver files according to criteria set by the Federal Motor Carriers Safety Administration (FMCSA)

  • Processes insurance packets for employer and vendors

  • Assistance in the management of subcontract and customer files

  • Ensures supplier management: manages the reconciliation of invoices and the payment of suppliers, informs in case of recourse to unreferenced suppliers, etc.

  • Payroll timekeeping duties

  • Assists in plant paperwork, timecards and production

  • Tracking product inventory, inputting consumption and production of products in computerized system


  • Requires a high school diploma and at least 2-3 years of experience
  • Friendly, outgoing personality with a customer service focus
  • Strong written and oral communication skills 
  • Strong computer skills, especially with Microsoft Office products
  • Engaged listening skills 
  • Strong problem solving skills 
  • Detail oriented with all tasks
  • Organizational abilities, in the midst of interruptions
  • Professional telephone and online meeting etiquette and customer service principles  
  • Available to work 7am – 5pm Monday – Saturday. Willingness to be flexible with times.
  • Valid drivers’ license and reliable transportation 
  • Drug free (includes marijuana)
