Job Summary

The Human Resources and Safety Administrator (8-month contract) will provide support to the Human Resources and Safety departments. They will deliver a positive service experience to the construction team while administering policies, programs, and procedures. 

Key Responsibilities

Human Resources
• Assist with full cycle recruitment activities including posting roles online, reviewing applications, conducting phone screens, scheduling interviews, and completing reference checks
• Assist the HR Generalist with new and re-hire orientation and complete employee onboarding into various HR systems (Colasway, JDE)
• Liaise with Unions on post jobs, coordinate dispatch processes, and clearance acquisition
• Manage end-to-end employee records including scanning, uploading and verifying documents in PeopleDoc, other HR systems and shared folders
• Ensure accuracy, maintain high confidentiality and ensure compliance with company policies
• Be the first point of contact for field staff for HR-related matters; respond to basic employee inquiries and escalate sensitive issues to HR Generalist or HR Business Partner
• Represent the company at job/career fairs and lead sourcing initiatives to increase company visibility and attract talent; engage with interested candidates to prepare talent database

 

Safety 
• Assist with orientations by collecting documentation and saving in employee files
• Ensures pre-employment requirements are met, books and schedules pre-employment testing
• Schedule, administer and track required training modules
• Fax abstract requests and file them appropriately
• Assist in maintaining safety software such as ISNetworld and prequalification sites
• Monitor weekly inspections and safety meetings in Enablon and track them to ensure compliance
• Monitor and maintain employee records and safety files, and process documentation to prepare reports relating to competency checks and training personnel/safety activities

 

Other
• Participate in Human Resources or safety projects, as required
• Sit on the Social Committee and assist with planning, preparation, and execution of events
• Provide front desk coverage in the absence of Receptionist/Office Administrator
• Participate in the Company Safety and Goal Zero Initiatives

Qualifications

Education, Training and Certifications    
• High-School Diploma or GED is required
• Class 5 driver’s license, a vehicle is required as there is no public transportation in this area
    
Work Experience    
• 3+ years of experience in a similar role is required
• Experience working in a unionized environment is required
• Experience working for a construction company is an asset

 

Technical Skills
• Strong multi-tasking and time management skills with ability to manage schedule both virtually and in office
• Strong computer and data entry skills and familiarity with MS Office, Excel, and PowerPoint
• Ability to utilize virtual meeting software (i.e. Teams) 
• Knowledge of or ability to learn new software including Taleo, JDE, SAP, Cority and Heavy Job
• Knowledge of employment related legislation; ability to be resourceful and research information 
• Strong verbal and written communication skills; ability to interact effectively with stakeholders across various organizational levels
• Strong customer service focus with a professional demeanour and demonstrated dependability
