Job Description

We are seeking a detail-oriented and organized Shop Administrator to join our team. The ideal candidate will report to the shop manager and be responsible for maintaining work order systems, processing invoices, overseeing preventative maintenance schedules, and ensuring effective communication and reporting. The Shop Administrator will play a crucial role in managing and optimizing our shop processes while providing exceptional customer service.

Main Responsibilities

  • Maintain and manage work order systems in JD Edwards (JDE), including the opening of new work orders for winter maintenance and closing completed work orders.
  • Process shop invoices and purchase orders using OnBase; prepare and submit reports to accounting for monthly accruals.
  • Introduce and implement HCSS for accurate payroll entry of mechanics’ time.
  • Oversee the implementation and integration of iPads for various reporting functions, including HCSS, work order completion, and equipment maintenance.
  • Compile data for the equipment cost report workbook; review and analyze shop costs, making recommendations and corrections to the shop profit and loss (P&L) during monthly meetings.
  • Review credit card transactions to ensure they are charged to the correct accounts and equipment.
  • Enter preventative maintenance work orders weekly in JDE and generate weekly PM Schedule reports for all vehicles and equipment.
  • Obtain necessary permits for construction equipment as required.
  • Maintain the Fleet Master Spreadsheet and associated files for tracking and reporting purposes.
  • Manage Mileage, Fuel, and Hours spreadsheets for various reporting; conduct monthly reviews and audits of fuel purchases.
  • Maintain the shop winter budget spreadsheet to track expenses and ensure budget compliance.
  • Provide excellent customer service and support to construction foremen, employees, vendors, and other stakeholders as needed.

  • Ability to work independently and as part of a team in a fast-paced environment.
  • Detail-oriented with a commitment to accuracy and quality in work output.
  • Excellent organizational and time management skills.
  • Effective math, verbal, written, and communication skills
  • Basic computer skills
  • High degree of drive and a willingness to learn
  • Must be able to maintain confidentiality
  • Must adhere to all safety regulations
