Administrative Assistant, Full-Time Permanent

Job Summary:  Provides general office support with a variety of clerical activities and related tasks during the construction season. This position will be responsible for answering incoming calls, greeting and assisting visitors, data entry, as well as additional clerical duties.

Answer multi-line phone system using appropriate greeting.  Properly screen and route incoming calls. Provide information to callers; deal with queries from employees, the public and customers. Take and relay messages.  Return calls when needed.

Greet persons entering establishment in a pleasant and courteous manner.  Direct persons to correct destination.

Receive, sort and forward incoming mail.

Monitor and order office supplies

Ensure accuracy of internal phone list and cell phone list; document changes and additions as needed.

Assist with onboarding employees and personnel file maintenance.

Take direction from staff members and provide office support.

Qualifications

- Must have a friendly, outgoing personality

- Able to display strong written and oral communication skills

- Able to employ effective listening skills

- Must have strong problem solving skills and attention to detail

- Must have a professional personal presentation

- Able to interact with others in a positive manner while managing multiple daily activities in the office, with frequent interruptions

- Able to communicate and work well with diverse personalities

- Possess a basic understanding of telephone etiquette and customer service principles 

- Able to maintain office hours of 8am – 5pm Monday through Friday and Saturdays as necessary during the construction season

- Must have valid drivers’ license and reliable transportation

- Must be drug free

 

Education/Experience

- High school diploma or GED required

- Some college preferred

- Knowledge of administrative and clerical procedures preferred

- Knowledge of customer service principles and practices preferred

- Minimum one year work experience in an office environment preferred

 

Computer Skills: 

- Computer knowledge including knowledge of MS Office, network and internet applications

- Other software as required.

 

Language Skills:

- Strong verbal and written English language skills with an ability to clearly communicate telephonically

- Ability to speak clearly and concisely; read, understand and follow oral and written instructions

 

Mathematical Skills

-Necessary to be able to add, subtract, multiply and divide

 

Reasoning Ability

- Basic reasoning ability and problem-solving skills

- Ability to make sound and accurate judgments based on best available information

- Work requires sitting for long periods of time; also stooping, bending and stretching for files and supplies

- Occasionally lifting up to 50 pounds

- Visual acuity to read computerized documents and paper files

- Hearing must be in normal range for telephone contacts

- Interaction with the public on phone and in person is constant and interruptive

- Work may be stressful at times.
