Secretary
Mission
Provide essential administrative support to the project management team, ensuring efficient project operations and effective communication. This role involves managing schedules, organizing project documentation, and facilitating coordination among team members and stakeholders. By handling various administrative tasks, the Project Manager Secretary enables project managers to focus on strategic planning and execution, ultimately contributing to the successful delivery of projects on time and within budget. The position also plays a key role in maintaining project documentation and tracking progress, ensuring that all aspects of the project are well-organized and aligned with organizational goals.
Main Responsibilities
Includes but not limited to the following:
- Provide administrative support to the Project Manager and project team, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Prepare and organize project documentation, including reports, presentations, and correspondence.
- Maintain project files and ensure all documents are updated and easily accessible.
- Assist in tracking project timelines, budgets, and deliverables, providing regular updates to the project team.
- Facilitate communication among team members, stakeholders, and external partners.
- Coordinate project meetings, taking minutes and following up on action items.
- Assist in the preparation of project proposals and bids as needed.
- Perform general office duties, such as managing phone calls, emails, and office supplies
Profile
- Bachelor’s degree in Business Administration or any business course
- 3-5 years of experience in an administrative role, preferably in project management or a related field.
- Strong organizational and multitasking skills, with the ability to prioritize effectively.
- Excellent written and verbal communication skills.
