Purpose of the role

 

Colas are responsible for the eight-year Maintenance & Response contract for National Highways Area 9. The contract covers around 2,300 miles of Strategic Road Network within Herefordshire, Worcestershire, Warwickshire, Staffordshire, and Shropshire, as well as parts of Gloucestershire, Derbyshire, and Leicestershire. We deliver cyclical maintenance, reactive maintenance, incident response, severe weather response and minor works in a region that has five strategically critical motorway interchange junctions, as well as being at the heart of the new HS2 network. Area 9 is a critical transport hub enabling customer journeys across the UK.

 

Colas Ltd. have an exciting opportunity for a Project Administrator to join the team. Reporting to the Project Supervisors, you will be responsible to produce data and analytical reports to support the operational delivery of the Area 9 Contract including recording and monitoring reporting of all key performance indicators. They will provide administrative support to the operational teams including meetings and investigations.

Main Responsibilities

 

As a Project Administrator your day to day will include but not limited to, providing administrative support, organising meetings and coordinating calendars and appointments to the operations team. You will provide departmental support in sending daily handovers to the client, preparing data sheets to support the close out of works. You will be required to write and issue minutes and ongoing actions logs for any team meetings. The Project Administrator will provide coordination support, raise purchase and task orders. You will ensure that all operations carried out within area of responsibility are undertaken with full regard for safety of visitors, other members of staff and yourself. To keep records, complete all necessary paperwork and governance, communicate, and liaise with other employees of Colas, sub-contractors, the general public, clients, and customers in support of DNP processes. You will liaise with DNP team to ensure relevant details are captured and maintained. You will be responsible for ordering materials necessary for the efficient and effective operation of the team and assisting in daily reporting of hot costings. (Value v Cost). You will assist the Project Supervisor in the proactive monitoring and maintenance of all programmes on a regular basis to ensure that the programme remains achievable and identify areas where corrective action may be required. Perform other duties from time to time as instructed by the Line Manager. You will ensure all activities are undertaken with due regard for the environment, to prevent pollution, comply with legal and corporate requirements and minimise environmental impact. You will comply will all relevant HSEA compliance and legislative requirements. You will actively promote Health and Safety in the workplace by setting a good example to others by ensuring compliance with the H&S responsibilities as out in the HSM. 

Ideal Candidate

 

The ideal candidate for this role will have a Business Administration qualification or equivalent. You will have a minimum 2 years experience within Administration, working within a Highways industry including knowledge of network operations and scheme delivery would be desirable, not essential. 

 

The Project Administrator will be highly organised with an excellent attention to detail and meticulous approach. You will have excellent communication skills (verbal/written) and be able to manage stakeholders at all levels. It is essential you have advanced use of the Microsoft Office suite (in particular excel), time management and prioritisation of work for self and the team against changing demands of network needs. A full UK driving licence is required for this role.
