Purpose of the Role
To assist the Infrastructure Monitoring Duty Manager with day-to-day operational tasks. Simultaneously assisting the wider IM management team with a variety of administrative and office-based functions. Contributing to the effective running of the IM contract through successful completion of both areas.
Person Specification
The suitable candidate must have:
- Strong IT skills including Microsoft Office 365 (Word, Excel, PowerPoint, Teams)
- Excellent communication & interpersonal skills, both written and verbal.
- Good time management and organisational skills.
- Able to work well alone or as directed.
- Able to prioritise to achieve competing deadlines.
- Previous experience working within an office environment or similar role.
Key Responsibilities
- Support IM Management team with administrative support as required.
- Assist with administrative elements of operational tasks/functions as directed.
- Assist with booking, monitoring and cancelling of the overnight lodges for all IM staff.
- Timely booking of hotels to ensure best rates are achieved.
- Selection of bookings based on location and price.
- Assist with the periodic review of commercial data relating to lodges.
- Effective liaison with the RSHB team.
- Effective communication with IM staff.
- Arrangement of any IM team travel requirements.
- Assist with periodic review of commercial data relating to taxi bookings.
- Follow up on poor performance queries with suppliers.
- Completion of application for freight duty pass for new starters.
- Assist with the ordering, tracking and collection of personal protection equipment (PPE) for all staff.
- Timely review and approval/declining of operational staff expenses in line with provided terms and conditions.
- Assist Delivery Manager with organisation of interviews and other various administration related to recruitment and new starters.
- Updating and formatting of documentation as directed by operationally competent staff.
- Support with day to day office functions.
- Meeting room bookings.
- Purchase of office consumables and stationary
- Management of any post (Incoming and outgoing)
- Creation of security passes
- Any other reasonable duties as requested by IM management team.
