Job Summary

The Contract Administrator is responsible for coordinating the administration of construction contracts. This includes ensuring that all contractual provisions related to a specific project are followed, documented, supervised, and closed-out in accordance with project requirements. The primary goal is to minimize exposure to risk and potential liability.

Main Responsibilities

  • Bid documents: Complete, compile, collect signatures, review, and validate their accuracy.
  • Project Contract: Complete, compile, review, collect signatures, and validate their accuracy.
  • Complete and collect signatures for purchase orders and subcontracts.
  • Handle Certificates of Insurance and bonds for customers and subcontractors for projects.
  • Acquire prequalification from customers.
  • Collect new vendor and new customer documentation for project setup.
  • Process and collect required waivers and affidavits for project closeout, including from subcontractor and vendor when needed.
  • Upload all completed documentation into Barrett’s document storage application.
  • Attend weekly meetings to provide updates on contract administration.

  • Knowledge of company policies and procedures.
  • General understanding of construction laws, insurance, bonding, and indemnification.
  • Flexibility to work with interruptions and shift priorities.
  • Effective planning and organization skills to meet production goals.
  • Ability to establish and maintain effective working relationships with colleagues.
  • Ability to multitask and work independently without constant direction.

Education

  • Associates or Bachelors degree in Business Administration, or a related field.

Experience

  • Minimum of 2 to 4 years of proven track record in construction administration.
  • Experience in civil environments, such as paving, grading, structures, and heavy highways preferred.

Physical Requirements

  • Current office hours are subject to change. The office is currently working on a hybrid work schedule. When working in the office, work is conducted in a typical office environment.
  • Able to efficiently work from home.
  • Communication with staff, management, public and private entities and subcontractors is vital, requiring effective verbal communication skills.
  • Use of office equipment, such as computers, copy machines, telephones, and fax machines.
  • May require periodic visits to construction sites.
  • Exposure to variable weather conditions, including rain, extreme cold, and heat, is possible during site visits.
